Dear Dr. NAACLS, My administration is asking what the cost will be for NAACLS to visit my program. How is the cost of the site visit calculated? Signed, Fiscally Responsible Program Director
There are two fees associated with the site visit: the "Site Visit Preparation Fee" and the "Site Visit Fee." The Site Visit Preparation Fee is $500, and it covers the time expenditure of NAACLS to recruit volunteers and arrange the site visit. The Site Visit Fee is based on the actual cost of the visit. There are differences in how the Site Visit Fee is billed, depending upon whether the program is an applicant for initial accreditation or continuing accreditation, and if the program is domestic or foreign. Fee structures for international programs are currently under review. For initial programs, the Site Visit Fee is $2000. NAACLS sends this invoice when the three-member initial site visit team is approved. Even if the cost of the initial site visit is more than the original billing, the program is not billed for the balance. For continuing programs, the Site Visit Fee is the actual cost of the two site visitors' travel arrangements, lodging, meals, and telephone expenditures related to the visit. The program is invoiced for 80 percent of the estimated cost of the site visit when the site visit team is approved. After the site visit, the site visitors submit both a site visit report and an expense report. When the NAACLS office receives these reports, the actual cost is computed, and the program is invoiced for the balance. In cases where the 80 percent of the estimated cost is more than the actual cost, the program is reimbursed for the balance. The site visitors play a key role in the invoicing of the program through their submission of expense reports. There have been delays in receiving expense reports that have then delayed the invoicing of programs for the balance of the site visit fee. As a result, NAACLS has recently adopted a more stringent policy on deadlines for expense reports. As always, please feel free to contact the NAACLS office when you have questions.
