Helpful hints for program directors and volunteers
by Jennifer Beyer
Program Coordinator, Program Services

Are you a collector of NAACLS antiques such as old guides or outdated reporting forms? By referring to old materials, you may not be utilizing the most recent information. This may create more work not only for you, but also for the reviewer of your program or the program you are reviewing, as well as the NAACLS staff member who coordinates the process. By discarding outdated materials when you receive updates, you may save yourself a great deal of time because modifications to requirements may have been made since your program was last reviewed or since you volunteered to review a program.

On a regular basis, NAACLS revises all materials used in the accreditation and approval processes. In order to insure that current documentation is being utilized, staff send out new materials to programs scheduled for review and to volunteers who are participating in the review process.

Accredited and approved programs scheduled for review receive current materials in a Notification of Renewal (NOR) packet approximately one year before the Self-Study Report is due (18 months before accreditation or approval expires). Paper reviewers for both accredited and approved programs will receive the current Self-Study Report Paper Review form. Accredited program site visitors receive the most current Site Visitor Manual and Site Visit Report form. Once new documents are received, any old NAACLS documents should be discarded to avoid the chances of the old material getting mixed up with the new. If you receive your information on disk, be sure that you return the disk. Do not save and reuse the forms.

You should read over all the new materials carefully and become familiar with the requirements before assembling Self-Study Reports, Self-Study Report Paper Reviews, Site Visit Reports, etc. If you have any questions about the process, don't hesitate to contact the Program Coordinator at NAACLS.

Quality assurance is an ongoing responsibility for volunteers and for NAACLS staff, so do not be a collector. By discarding old documents when you have received updated versions from the NAACLS office you will be assured that you have the most current materials at hand. If you need additional copies of any NAACLS publications, please contact the staff at NAACLS@mcs. net.
