Information Services Update

NAACLS staff are involved in an ongoing effort to streamline and update document storage. That effort, called the Document Management project, will streamline the accreditation and approval processes and provide easy access to any document relating to a program.

The Document Management project will streamline the NAACLS process and provide easy access to any document relating to a program. After having carefully researched ready-made Document Management software, I've concluded that the best solution for NAACLS would be designed in-house. The software currently on the market has yet to be fully proven as a viable product for small businesses. The cost of such software and how applicable it is to our business process are additional areas of concern. Creating a customized solution gives the advantages of tying the solution to our current database, allowing for further customization of the project with only those features that are necessary and automating aspects of the process that are specific to NAACLS. This can be accomplished without the need to purchase proprietary software, servers or assistance from outside consultants

One key aspect in the design of a custom Document Management solution is defining all the processes involved in accreditation and approval Each step in the process is marked by a different document which must then be categorized in an efficient, intuitive manner This will help not only the Document Management project, but also aid in the organization of the entire office.

Once the Document Management project is completed, the office will have a solution that is integrated into our current database with easy access to documents pertaining to the program. This will help reduce the amount of office space needed, prevent the loss of important documents and greatly simplify the flow of information.

The database is scheduled to go through more renovations as the need for ease of access to information increases. It has been proposed that the database be constructed with more of a historical perspective so that employees can have access to data over time We are also planning to add more content to the website regarding site visitor training
